Administrative Associate
The Administrative Associate position is an excellent opportunity to put your skills and experience to work in a local financial advising office. The Administrative Associate will perform essential duties and responsibilities to ensure the efficient operation of the office. This position delivers a wide range of critical client support to the office and helps to provide the resources & guidance to assist with growing the client base, retaining client assets and supporting the office. The Administrative Associate is responsible for assisting with the timely processing of client transactions, opening new accounts, preparation of documents, client follow up and other duties as required. The Associate must have strong administrative, technical, interpersonal and customer service skills.
Essential Duties & Responsibilities:
- Promote good customer relations by positive, professional handling of all public contacts in the office, on the telephone, and through correspondence.
- Answer routine questions from Home Office personnel, advisors, and clients.
- Plans and schedules work activities to complete assignments in their order of priority to make the most effective use of time.
- Coordinate mailings; process incoming mail
- Coordinate the preparation of annual reviews and client meeting materials
- Discuss and organize follow-up steps with the advisor after client meetings
- Assist with reviewing client transaction requests and applications for completeness; provide daily tracking of project status
- May assist with data entry to help with opening new accounts, transactions, etc.
- Assist with NIGO (not in good order) notifications to advisors.
- Operate general office equipment (fax machine, copier, scanner, etc.)
- Commit to professional development to remain current in industry issues, CRM and compliance rules and regulations
- Perform other duties as assigned.
Experience and Skill Requirements
- A minimum of 2-3 years office administration and/or general administrative experience. Industry experience preferred.
- Exceptional oral & written communication skills.
- Working knowledge of computer software skills including Windows 11, Microsoft Word, Excel & Outlook
- Good math aptitude
- Strong verbal communication skills required; business writing skills desirable.
- Excellent follow-up and follow-through capabilities.
- Ability to handle multiple tasks in a fast-paced office environment.
- Team-oriented with excellent customer service skills
- Strong organizational skills with attention to details
- Effective problem-solving, reasoning and learning skills
- Able to exercise good judgement by recognizing urgency & setting priorities.
- Personable & approachable with a positive attitude
